A snippet of the ins and outs of site docs. Site Docs keeps employees more accountable by being able to see reporting in real time no more waiting for paper work to get to the office, or risk it being lost. Each morning that a Hazard Assessment is completed it is time stamped as well as GPS tracked.
Simple setup 101 - Adding new hire, and setting up forms / app access. Each employee has their own login and a running log is kept that can be accessed by anyone with Admin or Super Admin access. This can be beneficial if someone is a new hire under their probationary period, up for a promotion, or just an annual employee review needing completed. The running log provides a detailed list of all documentation ever signed on Site Docs by that employee.
Details on the worker profile such as app access, personal information such as emergency contacts, certifications, and signed documents. Certifications once uploaded create an alert in the system to email workers 30 days prior to their certs expiring. This is a great resource for remaining compliant and providing recertifications to workers with the ability to choose 1 day First Aid recert courses, or the BOP exam challenge. Emergency contacts listed on each workers profile allows for easy access in the event of an emergency.
How to build forms in Site Docs, and maintaining the list manager function. The great thing about Site Docs is unlike other programs setup for a specific industry or large scale company Site Docs is versatile and the perfect fit for a small to large employer, and contractor management due to its form functions being built by the company. Once the forms are built and your safety program is in place you will save hundreds to thousands on printing, scanning, filing, etc.
The Resource Library is a catch all for legislative and company/client documentation that workers may need to reference at some point during their day. This is a great spot to upload items like your Health and Safety Manual, SWP, Safety Bulletins, Safety Data Sheets, and your jurisdictions Act & Reg. The program has a great feature where you can see what your employees will see on their cell phones, or tablets when they are accessing the content.
This is a great feature for being proactive and meeting those legislated, and internal inspection frequencies to stay compliant and meet your COR goals. When a company completed an incident report they can request that the Site Consultant signs off on the report.
Check out this great video for a quick easy way to communicate deficiencies that goes the extra step with compliance. In my experience when deficiencies are documented the follow-up step afterwards is often missed. When items are not completed and signed off one as completed by the due date Site Docs creates a open log of all items requiring attention. This can help speed up the process of ordering parts and quicken the turn around process.
For an additional fee you can add Site Docs Analytics to your safety management program. Site Docs has the capabilities to look at the analytics behind all the health and safety data entered overtime whether its annually or over a shorter time period. This can help to better identify incident trends and statistics to factor in all the elements of each report submitted such as underlying conditions, times of the day, etc. to minimize recurring incidents.
