Join Our Team as a Safety Administration Assistant at Southwest Safety Consulting!

Southwest Safety Consulting is hiring a full-time Administrative Assistant for an 18-month term to help support our growing safety operations and course development team. We’re looking for someone who is organized, tech-savvy, and thrives in a structured but fast-paced environment. (18-Month Term)

We specialize in delivering comprehensive HSE consulting tailored to our clients’ needs. Backed by a team of seasoned professionals, we have extensive experience in high-risk industries, focusing on serving the oil and gas and construction sectors.

We are dedicated to helping lower incident statistics for our clients and contribute to the overall safety of our community through our consulting services and educational courses.

Position Details

  • Term: 18 months
  • Hours: Full-time, Monday to Friday (8 hours/day)
  • Shift Options: 7–3, 8–4, 9–5, or 10–6 You Choose!
  • Location: Based in our Virden, Manitoba office
  • Start Date: December 2025
  • Wage: $18.50–$23.00/hour, depending on experience and qualifications
 

Key Responsibilities

  • Provide administrative support to the safety consulting team and training division
  • Maintain digital task lists and timelines in ClickUp; follow up on outstanding items
  • Assist with internal policy and procedure updates as needed
  • Coordinate scheduling, emails, and communications with clients and contractors
  • Prepare materials and support logistics for training courses and marketing projects
  • Organize, label, and file safety and compliance documentation for easy access
  • Join meetings to take notes, track action items, and help keep teams on task
  • Compile summaries and reports related to field documentation or compliance tracking
  • Support data entry, monthly reporting, and ongoing document maintenance
What We’re Looking For:

  • Strong organizational and time management skills
  • A self-starter who takes initiative and solves problems independently
  • Comfortable with digital platforms like ClickUp, SiteDocs, ISNetworld (or willing to learn)
  • Tech-friendly with excellent communication and documentation abilities
  • Experience in safety, compliance, or administrative work is an asset but not required

Basic administrative roles and responsibilities generally sought include:

  • Ability to pivot from task to task effectively
  • Management of priorities and deadlines
  • Openness to learning new programs and software
  • Strong attention to detail
  • Excellent communication skills
  • Organizational skills
  • Completion of assigned tasks as needed, including but not limited to data entry, scheduling, and supporting team projects
  • Experience with ClickUp, SiteDocs, Gmail & Zoom are a bonus!
